As a youth football club, much of the personal information we hold relates to children. We recognise that children’s personal information requires particular protection and will always aim to handle it carefully, securely and only where necessary.
Information relating to a player’s health or medical needs is treated with additional care. We only request information that is relevant to helping us keep a child safe and appropriately supported while participating in Club activities.
Access to this information will be limited to those who reasonably require it for the safety and wellbeing of the child.
Sharing Your Information
We do not sell personal information or share it with third parties for their own marketing purposes.
Where necessary, information may be shared with organisations involved in the administration and delivery of youth football, such as relevant leagues, the Scottish Youth Football Association (SYFA), the Scottish Football Association and other appropriate football or regulatory bodies.
We may also use trusted service providers to help us operate and communicate as a Club.
Information may also be disclosed where we are legally required to do so or where sharing is necessary to safeguard a child or another individual.
Photographs & Video
From time to time, photographs or videos may be taken at training sessions, matches, festivals and Club events.
These may be used on the Club’s website, social media channels or other Club promotional materials where the appropriate parent or guardian permissions have been obtained.
Parents and guardians can contact the Club if they wish to change their preferences regarding the use of their child’s image.
Safeguarding considerations will always take priority when photographs or videos involving children are used.

We take reasonable steps to protect the personal information we hold against loss, misuse, unauthorised access, disclosure or alteration.
Access to Club records and systems containing personal information is restricted to authorised individuals where appropriate.

CODE OF CONDUCT
Old Kilpatrick FC is built on respect, positivity, teamwork and enjoyment.
We want every child who represents our Club to enjoy their football in a safe and supportive environment. Players, parents, guardians, coaches, volunteers and spectators all have a part to play in creating that environment and are expected to represent Old Kilpatrick FC positively at all times.
Players
We expect our players to:
- Play fairly, try their best and enjoy their football
- Listen to their coaches and be willing to learn
- Respect teammates, opponents, coaches and match officials
- Encourage and support their teammates
- Show a positive attitude at training, matches and Club activities
- Follow instructions and Club safety guidance
- Never use foul, abusive or discriminatory language
- Never bully, intimidate or deliberately exclude another player
- Celebrate effort, improvement and teamwork – not just results
- Represent Old Kilpatrick FC positively whenever wearing the Club badge
Mistakes are part of learning. We don’t expect our young players to be perfect – we do expect them to listen, show respect and make an effort.
Parents, Guardians & Spectators
We ask our families and supporters to:
- Encourage and support the children positively from the sidelines
- Support the team as a whole, not only their own child
- Allow the coaches to coach and avoid shouting instructions from the sidelines
- Never criticise, embarrass or put unnecessary pressure on a player
- Respect coaches and the decisions they make regarding training and player development
- Respect match officials and their decisions, including young or trainee referees
- Show respect towards opposition players, coaches, families and supporters
- Applaud good football, effort and sportsmanship from both teams
- Raise any concerns with the Club appropriately rather than during a training session or match
- Use social media responsibly when referring to the Club, its players, coaches, families, opponents or officials
Remember that children’s football should ultimately be about their enjoyment and development
Coaches & Volunteers
Our coaches and volunteers are expected to:
- Put the welfare, safety and wellbeing of every child first
- Create a positive, encouraging and age-appropriate football environment
- Treat every player with respect and support their individual development
- Recognise that children develop at different rates and have different needs
- Be positive role models through their language, attitude and behaviour
- Never use humiliating, intimidating or inappropriate coaching methods
- Promote respect, teamwork, effort and good sportsmanship
- Maintain appropriate professional boundaries with children
- Complete the appropriate safeguarding, PVG and training requirements relevant to their role
- Report any concerns regarding a child’s wellbeing in accordance with the Club’s Safeguarding procedures
- Represent Old Kilpatrick FC positively when dealing with players, families, officials, opposition clubs and the wider community
Representing Our Club
Everyone associated with Old Kilpatrick FC represents our Club.
Whether at training, matches, festivals, Club events or when interacting online, we ask our players, coaches and families to behave in a way that reflects the values we want our children to learn.
Football will always involve excitement, disappointment and competition, but respect should never change regardless of the result.
Breaches of the Code
Where behaviour falls below the standards expected by the Club, we will aim to address matters fairly and proportionately.
Depending on the nature or seriousness of the concern, this may include an informal conversation, a formal warning or further action in accordance with the Club’s procedures and any applicable Scottish FA or SYFA requirements.
Serious or repeated breaches may result in an individual being asked to leave a training session, match or Club event and, where necessary, their continued involvement with Old Kilpatrick FC may be reviewed.
By being part of Old Kilpatrick FC, we ask everyone to help us protect the positive, family-focused environment we are working hard to create for our children.
SAFEGUARDING
The safety, wellbeing and protection of every child at Old Kilpatrick FC is our absolute priority.
We are committed to providing a safe, positive and inclusive environment where children can enjoy football, develop their confidence and feel respected and supported.
The Club follows the child wellbeing and protection requirements and guidance of the Scottish FA and Scottish Youth Football Association (SYFA).
Our Commitment
Every child has the right to participate in football in an environment where they feel safe, valued, respected and listened to.
We are committed to putting the wellbeing of our young players first and ensuring appropriate safeguarding procedures are embedded throughout the Club.
Coaches & Volunteers
Old Kilpatrick FC follows the appropriate recruitment, appointment and safeguarding procedures for coaches, officials and volunteers working with children.
Individuals undertaking regulated roles with children are required to have the appropriate Protecting Vulnerable Groups (PVG) Scheme membership through Disclosure Scotland and to complete the relevant child wellbeing and protection requirements for their role.
Our coaches and officials are also expected to uphold the standards of behaviour and conduct required within Scottish youth football.
Child Wellbeing & Protection Officer
Old Kilpatrick FC has a designated Child Wellbeing & Protection Officer (CWPO) who acts as the first point of contact for any concerns relating to the wellbeing or safety of a child within the Club.

Reporting a Concern
If you have any concern about the wellbeing or safety of a child connected with Old Kilpatrick FC, we encourage you to raise it as soon as possible.
You can:
- Contact our Club Child Wellbeing & Protection Officer
- Contact the SYFA Child Wellbeing & Protection team
- Where there is an immediate concern for a child’s safety, contact Police Scotland on 101 or 999 in an emergency, without delay.
All concerns raised with the Club will be taken seriously and handled appropriately in accordance with the relevant child wellbeing and protection procedures.
Safeguarding and promoting the wellbeing of children is everyone’s responsibility.
COACH TRAINING AND DEVELOPMENT
We believe that great coaching starts with great coaches, and we’re committed to investing in the ongoing development of the people who work with our players.
Every course completed, qualification gained and new skill learned ultimately benefits our boys – helping us provide the safest, most positive and most rewarding football environment possible.
Our coaches don’t stop learning once they’ve gained their first qualification. We actively encourage continued development throughout their time with Old Kilpatrick FC and, wherever possible, support our coaches in progressing through further qualifications and training.
Coaching Qualifications & Development
Depending on their role and stage of development, our coaching team may undertake training and qualifications including:
- Scottish FA Coaching Qualifications
Providing coaches with the knowledge and practical skills needed to deliver age-appropriate, engaging and effective football sessions for young players.
- Child Wellbeing & Protection Training
Helping our coaches understand their responsibilities around safeguarding, children’s wellbeing and creating a safe and positive football environment. - First Aid Training
Ensuring appropriately trained individuals are available to respond to injuries or medical emergencies during football activities. - Continued Professional Development (CPD)
We encourage our coaches to continue learning through additional qualifications, workshops, refresher training and development opportunities as they progress.
Safeguarding & Suitability
Alongside training and development, individuals undertaking regulated roles with children are required to have the appropriate PVG Scheme membership through Disclosure Scotland, in accordance with the relevant requirements.
Coaches and volunteers are also expected to follow the Club’s safeguarding procedures, codes of conduct and the standards expected within Scottish youth football.

For us, coach development isn’t simply about collecting qualifications.
It’s about giving our coaches the knowledge and confidence to understand the individual children they work with, recognise different stages of development, create enjoyable and challenging sessions and help every player reach their potential.
As Old Kilpatrick FC continues to grow, we remain committed to investing in the people who give their time to our players.
